When Placing your Order: (Astor Chocolate's Corporate Sales Division sells exclusively through promotional products distributors.)

  2. To avoid duplication, please indicate if orders were previously faxed or emailed. We cannot be responsible for duplicate orders.
  3. See artwork specifications for information and instructions for submitting artwork.
  4. An email confirmation will be sent when order is received.
  5. Desired in-hands date, ship to address and ship method must be indicated when order is placed. We will follow up with any questions/revisions prior to processing. 
  6. Order tracking will be sent via email the morning after when order ships from our facility. Invoice will be sent via fax or email.

What is your production time?

First time orders: Normal production time is 5-7 business days from proof approval for production ready orders, which includes: purchase order, camera ready artwork, proof approval (if required), any applicable insertions, shipping instructions, excel list (if drop shipments are requested), and credit approval/prepayment. 

Repeat orders: Repeat orders are 4 days from order sent in if it is the same art and no changes

When will I receive a proof?

We will layout artwork on template and email a digital proof at no charge prior to production. You will receive a proof within 24-hours of receipt of completed order and vector art. Pre-production proofs available upon request on selected items and may incur an additional charge. Please call for details.

What are your artwork specifications?

We require digital artwork, supplied in vector format for best reproduction. All fonts must be converted to outlines and file must be saved as an EPS or PDF. All images included in vector file must be embedded high-resolution TIFFs and attached to the email. Art charges may apply for file needing manipulation, recreations, touch-ups, corrections, typesetting etc. An email will be sent for charge approval at the time of proofing.

Accepted programs: Adobe Illustrator CS3 or lower for MAC is preferred. Quark Express 6.5 or lower or B&W color separated artwork (faxes and photocopies are not considered camera ready). Adobe Photoshop not accepted. EPS Acceptable.

4-Color process Specifications: All art must be supplied in CMYK format at 300 dpi & 100% size. Full bleeds are available at no charge on specified items at 1/8” minimum; instructions must be included in order or artwork template.

Artwork for Chocolate Molds & Embossing: Please provide vector art. All solid black line art will be raised on chocolate. No color, grey or half-tone will be accepted. 

Fonts: All fonts must be in san serif vector art and outlined. Font size must be equal or greater than:

  • Hotstamps - 12pt
  • Pouches - 16pt
  • Coins – 8pt (6)
  • Ribbons – 14pt
  • Molded Chocolate – 14pt
  • Edible Imprint on Truffles – 6pt
  • Packs & Wrappers – 6pts.
  • Heavy Script & italic fonts OK upon review.

You need JavaScript enabled to view it. , please reference PO# and provide an email contact for proofing. Files larger than 10MB should be compressed prior to emailing. Please use ZIP archives. We can also download from a specified service or you may use our FTP site (call/email for login). We also accept DVDs and CD-ROM.

All artwork submitted will either be enlarged or reduced to fit imprint area unless otherwise advised by the customer at time the artwork is submitted.

Do you offer stock imprint colors for foils?

We stock the following PMS colors: BLACK; BLUE 072; 281; 288; 293; 659; REFLEX BLUE; BROWN 463, 483, 4975; GREEN 322, 328, 347, 349, METALLIC GOLD; METALLIC SILVER; ORANGE 172; PINK 226, 212, 215; PURPLE 2607; RED 185, 200, 202, 215, 485; RUBINE; WHITE; YELLOW 109; MAROON 209. Astor will match colors as closely as possible. Due to different surfaces and methods of imprinting, exact color match cannot be guaranteed. For custom PMS color, call for quote.

What are your freight terms?

Most items F.O.B. Lakewood, N.J. or Le Belge Sublime Collection: Napa Valley, CA (selected items). C.O.D. shipments on established accounts.

Do you have rush service?

Available upon request for most products, pending factory approval. Contact customer service for details and rate information. Factory is not responsible for late deliveries once shipment released to shipper on-time.­­

Do you ship internationally? What is the policy?

Do you offer split and drop shipments?

Yes. There is an additional charge of $5(X) per location. Drop ship list must be submitted a minimum of 3 working days prior to shipment.

Do you offer co-op & warehousing programs?

Yes. Astor Chocolate maintains a temperature-controlled facility. We can work with you to create a co-op or warehousing program to pre-produce & ship on demand. Please call your sales representative for more details.

Do you ship during hot weather?

Yes. During warm weather, temperature sensitive products are shipped in insulated cartons with ice packs. Products will remain cool for 2 full days. Expedited shipping is required for locations beyond 2-day ground shipping with temperatures above 75 degrees (usually May-Oct). Add $10(X) per case. Larger orders can be shipped via refrigerated trucks. We reserve the right to determine best mode of transportation based on destination and time of year. Weekend shipments not available during hot weather.

What are your payment terms?

Net 30 days to established accounts. If account is not established, please bill to a MasterCard or Visa or send check with order. Please follow this link to download a credit application.

What is your policy for random & spec samples?

Random samples: Most items will be billed at end quantity pricing plus freight, applied to MasterCard or Visa. Ask your customer service representative for details.

Spec samples: Available upon request. Charges vary per product. Call for details.

What is your trademark policy?

All copy and other material submitted by the customer for use by the plant in producing items ordered, whether or not artwork in required therewith, will be accepted by the plant as being submitted, in full compliance with all applicable laws regarding trademarks, service marks, copyright, right to privacy, patent and similar use thereof by the plant on the items ordered will not violate any laws and Astor Chocolate Corporation hereby disclaims any and all liability for compliance with such laws in the use of the customer’s copy, logo or other material. The customer hereby agrees to hold Astor Chocolate Corporation harmless to any damages, costs and or expenses when they arise under such laws and a consequence of the plants use of the said copy or other material or the operations undertaken in and by this agreement. Logos and trademarks in this catalog are for illustrative purposes only and do not imply any endorsement.

What are your policies on over/under runs, cancellations, complaints & returns?

Over/Under Runs: We always set attempt to ship exact quantity, but we reserve the right to ship +/- 5% and bill accordingly.

Cancellations/ Changes: must be confirmed in writing. Work started or completed prior to cancellations and/or changes will be billed accordingly. Astor Chocolate will not accept responsibility for errors on verbal cancellations or modifications.

All complaints must be made in writing within 7 days from receipt of merchandise. Shipment should be inspected upon arrival. No returns can be made without written authorization from Astor. No exceptions. 

Astor Chocolate is not responsible for typographical errors.

Do you have a holidays closing schedule?

We are experts at what we do! We’ve been doing it successfully for over 60. We will work with you to make your event/ship date all year around.  However, please do not include the following holidays in your production time:

  • Passover
  • Shavout
  • Memorial Day
  • Labor Day
  • Rosh Hashnah
  • Yom Kippur
  • Sukkot
  • Shmini Azeret
  • Thanksgiving Day
  • Christmas Day
